What is the Activity Calendar?

The Activity Calendar, shown as Follow-up Calendar in the left menu, gives your team a date-based view of upcoming customer actions.

Instead of opening separate screens to check lead follow-ups, to-dos, quote expiry dates, and invoice due dates, you can review them from one monthly calendar and open the related record when it is time to act.

By default: The calendar opens with Lead follow-ups. You can switch to another activity type whenever required.

How to Open the Activity Calendar

  1. Sign in to your HelloLeads CRM account using the Web App.
  2. Find the calendar-check icon in the left-side menu.
  3. Select Follow-up Calendar.
  4. The current month opens with Lead follow-ups selected automatically.

Choose What to Show

Use the Show on calendar list at the top of the page. Each option represents a date that needs your attention.

Calendar option What appears Date used
Lead follow-ups Leads and customers that have a scheduled next follow-up. Next follow-up date and time
To-dos Tasks available to you according to your CRM access. To-do due date and time
Quote follow-ups Quotes that are approaching their configured expiry date. Quote expiry date
Invoice follow-ups Invoices with a payment due date in the visible period. Invoice due date
All activities All four supported activity types combined in the same calendar. Uses the relevant date for each activity
Tip: Select one activity type when you need a focused view. Choose All activities only when you want the complete picture, as it loads every supported source.

Navigate and Review Activities

  1. Use the previous and next arrows to move one month at a time.
  2. Select the month and year heading to jump directly to another month or year.
  3. Select Today to return to the current month.
  4. Click a date to display all matching activities for that day in the right-side panel.
  5. Click an activity in either the calendar or details panel to open its CRM record in a new browser tab.

When more than two activities fall on the same date, the calendar shows the first two and a + more count. Select the date to see the complete list in the details panel.

Search, Filters, and Access

Search current view: Find activities using a name, company, number, description, or other available activity details.

Assigned to: Account owners and managers can narrow the displayed activities to a selected user.

Potential: When Lead follow-ups are selected, filter the visible leads by their potential value.

Role-based visibility: Calendar records continue to follow your CRM role and assignment permissions.

Use Clear to remove the search, assigned-user, and potential filters. Use the refresh icon to request the latest data for the visible calendar period.

Example: Plan Your Sales Day

A sales executive opens the Activity Calendar in the morning. Lead follow-ups are already selected.

They select today's date and review every lead that needs a call or message.

They open each lead in a new tab, complete the follow-up, and update the next action.

They switch to To-dos, Quotes, and Invoices to check remaining tasks and commercial deadlines.

By the end of the review, the day's customer actions are organized without moving repeatedly between modules.

Frequently Asked Questions

Lead follow-ups are the default view so that your next customer actions are immediately available. Use Show on calendar to select another activity type.

Confirm that the record has the relevant date, falls within the selected month, matches your current filters, and is visible to your CRM role. You can also clear filters and use the refresh button.

Account owners and managers can use the Assigned to filter. Other users see information according to their assignment and role permissions.

No. The related lead, to-do, quote, or invoice opens in a new browser tab, so your calendar and selected month remain available.

The calendar displays an error message and a Try again button. Check your connection and try again. If the issue continues, contact your administrator or HelloLeads support.

A source may contain more records than can be returned in one request. Narrow the view to one activity type, use filters, or move to a more specific month to review the relevant records.
