Keeping a track of to-do list in general is always cumbersome. If you are in sales and have a to-do list for each lead or customer it become even more complex. Hence, we have brand new, easy to use and easy to track Hello To-do from HelloLeads CRM.

Hello To-do is a simple To-do management feature comes as a part of your HelloLeads CRM application. This feature allows you to create, assign, and track to-do tasks, against your leads/ customers. With To-do, you can streamline your workflow, track tasks efficiently, and ensure timely completion of activities

This document provides a comprehensive overview of the new Hello To-do feature.

Create a New To-do:

You can create multiple to-do tasks for a single lead or customers and assign them to your team members within your organization, including Account owners, Managers, L1 Users, and L2 Users. Please note that one task can be assigned to only one team member or user at a time .

To create a new Hello To-do in the Android app, follow any one of the below mentioned methods

To add a new To-do:

Follow the below steps to create a new ToDo for a Lead

  • In the Menu, click "Hello ToDo"

  • Click the '+' button on right side bottom

  • Select a lead / Customer

  • Enter the To-do tasks details

  • Select the task owner

  • Select the To-do task due date and time.

  • Click on tick button on the top right corner of the screen to save the created To-do.

To-dos can be viewed from two locations within the application:

From the main menu > Hello To-do ( to see all the To-do based on users it is assigned) Within the lead screen ( to see all the to-do based on leads it is created for)

Edit To-do: Created by users and users assigned with to-do tasks have the ability to edit the To-dos as needed. To-dos can be edited by

  1. Users who created it

  2. User to whom it is assigned to

For others, restriction alert will be displayed.

Mark as Done:

Once a to-do is completed, users assigned with to-do tasks can mark it as done. The completed to-do will be then moved to the Done tab.

Below three different “Marked as done” alerts will be displayed based on the To-do completion timeline – before the due date, + or - 1 hour of the due date, after the due date.

Reschedule To-do:

To-do reminder can be rescheduled by 30 minutes and Users assigned with to-do tasks will get push notification once the to-do reminder is rescheduled.

Delete To-do

To-dos can be deleted only by the user who created it.

Filters:

To-dos can be filtered based on users / team member and timeline criteria (Today, Tomorrow, Yesterday, Next 7 days, and Last 7 days)

Settings Customization

Users can customize their To-do experience through Settings, including options to turn ON/OFF the To-Do reminder, select Reminder mode, and choose a Reminder tone.

To export To-do details as an excel file, kindly login to Web application (app.helloleads.io) and navigate to side menu > Reports > Activity Report > Select Report type as “To-do Report” > select Users and timeline

Users can easily search for To-dos using the search option. You can search lead name / customer name, organisation name and task details are searchable.

HelloLeads CRM provides a prominent on-screen notification with an alarm at the scheduled to-do date & time on the assigned user's mobile device.

Users assigned with to-do tasks will receive push notifications when a To-do is created, ensuring timely task reminders.

Role-Based Access

Account owners and Managers can view all To-dos, while users in the roles of L1 and L2 can access only the To-dos that are created by them and assigned to them. With respect to the access of lead/ customer – L1, L2 users will now have a new option to access a "View Only" screen of lead/ customer details, where they can only view contact and qualifiers information – if a To-do is assigned to them for a lead which is not accessible by them (as the lead/ customer is assigned to any other user in the account).

Hello To-do features is available in Android Phones as on today. Please note that the To-do feature (in Android Phones) requires the device to support "overlay permission" or "display over other apps" permission for proper functionality of To-do reminder

Hello To-do - Frequently asked Question (FAQ)

1. Can I add a To-do independent of lead or customer or Add tasks outside of lead management?

As of now, To-do is designed with in lead management, which means each task is associated with a lead or customer. However, if you want to create a task that is not related to a lead or customer, please create yourself as a lead or create your department (HR, Accounts) as leads and assign To-Do to the created lead/customer.

2. Can I integrate To-Do tasks with Google/ Apple calendar?

As of now, the integration with Google/ Apple calendar is not available. We have in our road map to integrate To-do with Google / Apple calendar in the future..
