1.What is HelloLeads?

HelloLeads is a simple and smart lead capture, lead tracking and lead management solution. HelloLeads helps people like you who head sales and marketing in capturing and converting leads at the speed of light. It is a SaaS Solution, Cloud based and Mobile enabled.

2. Which devices support HelloLeads?

HelloLeads web application can be accessed through any web browser in a laptop or a desktop. HelloLeads Mobile application can be downloaded in any Android device and iOS device .

3. What is a lead?

Lead is a person who is interested in your products and services. She/he is a prospective customer or a buyer. Lead also can be prospective supplier. It will depend on the industry and your business situation.

4. What is List or Lead List?

List or Lead List is a logical grouping of leads or prospects so that it makes sense for your business and makes your life easy. A list can be a source of leads like trade show leads, or Web enquiry or it can be based on time or geography – for example 2018 leads or New York Leads.

5. Why should I create separate lists? Can’t I have all leads together?

HelloLeads provides a facility to create custom email replies for each list. You can also configure custom SMS reply for each list. This means you will have an ability to send a customized greeting or acknowledgement email to the leads you meet with and enter in HelloLeads. The way you respond to tradeshow visitors and web enquires will be different and hence grouping leads by way of lists makes sense for your business.

6. How do I create new list?

Click on + Button at the bottom of your screen and select the first option to create a new list.

7. What information can I capture for each lead?

You can capture Contact info, qualifiers, follow up info, notes and activities – for each lead. Few custom information such as potential, customer group, lead stage, deal size can be captured.

8. What is the contact info I can capture?

Name, designation, organization, Email ID, Mobile Number, Direct Number, office number, Website, Address, City, State, Zip.

9. What is Lead Potential?

You can capture lead potential in HelloLeads. Based on the purchasing potential or purchasing time line, you can classify a lead as high, medium or low potential. Some leads you can also mark as not relevant. Capturing lead potential helps you to have different sales strategies – for example you may speak with each high potential leads where as do a bulk email to low potential ones.

10. What is Lead Stage?

A lead goes thru a life cycle of cradle to grave. HelloLeads has 6 life cycles stages:

  • a) Open-enquiry posted
  • b) Contacted - when you have spoken to the lead
  • c) Qualified - When the lead has genuine needs for your product or service or you have products that can meet his / her needs
  • d) Customer - when a lead accepts to buy your product or service
  • e) Unqualified - Requirement does not match with products you offer
  • f) Inactive - was a customer some time back but dormant or inactive now

You can review leads at each stage and take appropriate action to move them to next logical stage till they become customer.

11. What is Deal Size?

Deal size enables users to capture the monitory value for the deals. This parameter can be used to track 3 values a) the budget of the customer b) the amount quoted in the estimate and c) the final amount in which the deal was closed.

12. Why there is a currency and How can I change the currency?

Deal sizes are indicated in the currency of your choice (USD, GBP, EUR, JPY, INR and so on). The default currency is USD and you can change the currency by going to Menu (⁝)-> Settings-> Tap on $ symbol and change your currency (in the android mobile).

13. Is there a way to add my products/services?

You can pre-add or pre-configure HelloLeads with the products or services you offer. Log on to helloleads.io using your registered email ID in your PC or Laptop, navigate to manage list and click on edit list and in the Interest and Customer Group tab you can add your products.

14. What is the use of adding products/services?

During the time of capturing a lead, its important that we also capture the interest of leads in specific products. Configuring the products and service in advance lets you to associate products in the lead form quickly.

15. What is a customer group (C-Group)?

Customer group (C-Group) is grouping market segments that make sense for your business. For example, Apple would have customer groups such as Students, Employed individual, Business customers etc. It is possible a business groups its customers into MNCs, Small Business, Govt etc. You may want to have different sales strategies for each Customer groups (C-Group).

16. How do I configure customer groups?

Log on to helloleads.io using your registered email ID in your PC or Laptop, navigate to manage list and click on edit list, in the Interest and Customer Group tab you can add your customer group.

17. What are tags?

Tags can be used in addition to the other qualifiers for grouping leads based on any category that suits your business needs. For example, you may tag saying ‘Needs a demo’ or ‘Send a quote’ etc.

18. What are notes?

For each lead, at the time of adding a lead you can enter notes. For example note can say ‘referred by Matt’ or ‘met in New York’ or ‘worked earlier at Honda’ etc. You can edit them later as well.

19. What are the different ways I can add Leads?

You may add leads through Lead forms, Phone contacts or by scanning a QR that contains contact information. There are many more ways to add leads. Please review Add leads in the menu (android phone) to see all possible ways of adding leads.

20. How does business card scan work?

HelloLeads CRM has the capabilities to scan your business cards and store them as leads or customers. The details in the business card will be auto transcribed and mapped to the respective fields. Once mapped and confirmed, a lead record is created using those details.

21. How does scan QR work?

QR codes are common in tradeshows and expos. You can scan such QR codes and add them as leads in HelloLeads.

22. What is quick add?

It is a very simple lead form with few important fields and can be used to capture leads quickly.

23. Can I capture locations of lead capture?

Yes. When you capture a lead the system automatically captures (a) the name of the user who added the lead (b) date & time of adding lead and (c) the location where the lead is captured. To have the location captured, in HelloLeads, the GPS tracking in the mobile should be ON and permission to access Location need to be provided for the application.

24. What is sales funnel?

It is a graphical representation of leads in different stages. It indicates the number of leads in each stage. This will give you an overview of the performance of the sales team and health of business.

25. How can I add leads from contacts?

Android phone: Click the + button in the home screen and select Add from contact (OR) Add Leads from the menu.

26. How do I get website enquiries into HelloLeads as leads?

You can get the Web Integration API by logging on to your HelloLeads account in web and navigating to Settings -> Web Form Integration -> Website Integration tab. Please follow the instructions given there.

27. Can I create auto text or auto emails to leads that I create?

Yes, you can configure a greeting email / auto text and SMS at the time of creating a list. Check the flag ‘Send greeting email’ at list level. To modify the automated greeting email later Go Menu (⁝)-> Manage lists-> Edit List. (Android phone).

28. Can I share my business card with my lead?

Yes you can share your business card with your lead at the time of creating a new lead. Check the flag ‘Share my business card’ at list level.

29. How do I edit my business card?

You can edit your business card in the user profile (settings).

30. Who is a list owner?

List owner is the user (in your organization) who is responsible for the leads captured in that list. The greeting email signature will contain list owners’ contact information.

31. Why add my sales team members as users?

By adding your sales team members as users, you can assign leads to your team members and monitor their performance with respect to sales conversions.

32. How can I add my sales team members?

You can add your sales team members as users in HelloLeads. Go to Menu (⁝) -> Manage users. You can add users to your account with certain roles and associated permissions.

33. What are the different roles available?

A user can be (a) account owner (b) manger (c) L1 users (d) L2 User. Please check this blog for different permissions available for each role.

34. Can I export leads?

Yes you can export your leads to a spread sheet or excel file. For exporting Go to Menu (⁝) -> Select Export to CSV (Android Phone).

35. How do I make payments?

You can make payments from Web App or Mobile Apps. For Android users, Go to Menu(⁝)->Settings-> Make Payment.

36. What are action circles?

For each lead you can perform certain actions. These actions are represented at the top as action circles (See lead details in an android phone). You can call, email and do many other activities.

37. Can I send SMS to my leads?

Using the Action circles, you can send SMS to your leads.

38. Is my data secure with HelloLeads?

Yes, your data is secure with HelloLeads. Refer the Data Security Information to learn more.

39. How do I search leads?

Use the search icon and enter the search term in the search bar. A list of leads will be displayed matching the search criteria.

40. How do I follow up?

Go to a lead, navigate to follow up tab, assign it to yourself or your team member, set a follow up date and time. You have an option to set repeat follow up and set on-time alarm in your mobile.

41. What are activities?

Activities is the log or comments posted by the user and modifications done to the lead information. Activities contain both user comments and system logs.

42. Can I sort leads?

Yes, you can sort leads. You can sort lists as well. Please use sort icons to see options in sorting.

43. Where do I see my follow ups?

You can see follow up by clicking the bell icon. Here ‘My Leads’ represent all leads which are assigned to you. ‘To do’ represents leads that you need to follow up today. ‘To set’ represent leads without a follow up date.

44. How do I know if I have to follow up lead today?

If you see Green Bell, the follow up date is today. If you see a blue bell, the follow up date is in the future i.e. upcoming follow ups. If you see a red bell the follow updates are in the past.

45. What are the reports that I can get in my mobile?

You can get reports of leads by potential, leads by customer groups and leads by lead stage in the dash board. In addition Advance filter (that you see when you press search icon) gives you business critical reports that you will need for your business. In addition web app offers many other reports.

46. Can I see leads in a map?

Yes. You can see leads in a map. Use the map option in the dash board.

47. How do I sync data between mobile and web?

When you are connected to internet, your HelloLeads data is automatically synced with the server at regular intervals (every few mints). You need not do any action for data sync. If you face issues, make sure your mobile data or wi-fi is on.

48. Can I see my follow ups / appointments in Google Calendar?

Yes. You can see your follow ups / appointments in Google Calendar. Please check Google Calendar Integration option in the settings in the mobile app.
